Project Officer, RS Projects
About this opportunity
Yarra Trams is seeking a motivated and organised Project Officer to support the successful delivery of rolling stock projects across our maintenance and workshop operations.
Reporting to the Project Manager, you will play a pivotal role in coordinating project activities, supporting delivery teams, and ensuring projects are delivered safely, efficiently, and to a high standard. Working closely with maintenance planners, workshop teams, suppliers, depots, and key stakeholders, you will help manage schedules, resources, materials, risks, reporting, governance requirements, and project documentation.
This is a diverse and hands-on role where no two days are the same. You will contribute to a broad range of project activities including:
- Supporting the development and delivery of project plans, schedules, milestones, and work packages.
- Coordinating project activities across workshops, suppliers, depots, and operational stakeholders.
- Organising the timely supply of materials and parts to support production and maintenance requirements.
- Monitoring project progress and preparing regular reports, dashboards, and performance metrics.
- Supporting labour mobilisation, training coordination, and resource planning activities.
- Maintaining project action registers, risk and issue logs, governance records, and document control systems.
- Assisting with procurement, contract administration, purchase requisitions, and expenditure tracking.
- Coordinating stakeholder meetings, workshops, communications, and project governance activities.
- Monitoring supplier performance, quality outcomes, and delivery schedules.
- Supporting project close-out activities, lessons learned reviews, and continuous improvement initiatives.
- Promoting a strong safety culture and ensuring compliance with OH&S requirements, rail safety obligations, and PPE standards.
About you
You are a proactive and detail-oriented project professional who enjoys coordinating multiple activities and building strong working relationships across operational and technical teams. You are comfortable working in a dynamic environment and have a passion for delivering outcomes safely, efficiently, and to a high standard.
To be successful in this role, you will bring:
- Qualifications in Electrical Engineering, Mechanical Engineering, a related discipline Tertiary qualification or equivalent experience within a manufacturing environment, project and/or rolling stock environment.
OR
- A trade qualification with demonstrated leadership, coordination, or supervisory experience.
You will also possess:
- Experience supporting or delivering projects within rolling stock, rail, heavy maintenance, manufacturing, or related operational environments.
- Knowledge of project management frameworks and project delivery principles.
- Strong planning and scheduling skills, with the ability to coordinate multiple activities and priorities.
- Experience monitoring project risks, issues, actions, and deliverables.
- Well-developed organisational skills and attention to detail, particularly in maintaining project records and documentation.
- The ability to coordinate stakeholders, suppliers, contractors, and internal teams to achieve project outcomes.
- Knowledge of quality assurance processes and continuous improvement practices.
- Understanding of Victorian Rail Safety requirements or other highly regulated operational environments.
- Strong communication skills, with the ability to prepare reports, facilitate meetings, and provide effective stakeholder support.
- Proficiency in project administration, reporting systems, and Microsoft Office applications.
Desirable:
- Desirable experience includes knowledge of recognised project management methodologies such as PRINCE2 or PMBOK and experience within heavy rail or light rail rolling stock maintenance environments.
- Understanding of Victorian Rail Safety requirements or other highly regulated operational environments.
