Advisor, Management Systems
About this opportunity
Yarra Trams requires an Advisor, Management Systems to support the development, implementation, and continuous improvement of the Yarra Trams management systems (e.g. quality and safety) and ensure alignment with organisational objectives, regulatory obligations, and relevant standards (e.g. ISO 9001, ISO 45001, ISO 14001, ISO 31000).
Reporting to the Manager, Quality Systems this role will:
- Support process owners in the monitoring and continuous improvement of the Safety Management System (SMS) through providing guidance and coordination with process owners to ensure their SMS responsibilities are understood and fulfilled.
- Assist process owners in identifying opportunities for improvement within their SMS-related processes.
- Support process owners to ensure the SMS framework, procedures, and supporting documents remain current and aligned with organisational objectives, regulatory obligations, and relevant standards.
- Support external ISO certification and surveillance audits, ensuring preparedness of management systems.
- Support the communication and awareness of system changes to relevant stakeholders.
- Maintain and update the SMS Manual and associated site to ensure the latest links, document titles, and supporting materials are current and accurately mapped to each SMS element.
- Support drafting of business procedures in accordance with the requirements detailed in Yarra Trams’ Document Management Procedure.
- Review of documents prior to publication on Yarra Trams’ Controlled Document Management System (CDMS) and escalate non-conforming documents to relevant stakeholders.
- Support the annual review of documents within the scope of Yarra Trams’ Safety Management System (SMS) by advising the application of a risk-based approach to document review and management.
- Conduct training sessions to demonstrate CDMS functionality, communicate the quality requirements of Yarra Trams’ business documents and responsibilities of authors and authorisers.
- Administer of the CDMS and the Safety Management System Intranet sites.
- Perform other tasks as assigned by the Manager, Quality Systems to support the organisation to meet objectives.
About you
Ideally you will have:
- A relevant tertiary qualification such as English, business administration, quality management, engineering, or another discipline that supports strong documentation and compliance capabilities.
- Experience in document control within a highly regulated, accuracy‑critical environment is essential.
- Demonstrated strong capability in managing, controlling, and handling critical information with proficiency and attention to detail.
- Writing and editing expertise with regard to developing procedural content.
- Proficiency in creating, editing and managing MS SharePoint sites.
- Strengths in updating material/s with subject matter experts providing a consistent and cohesive voice across all business documentation.
- Demonstrated robust communication skills, with the ability to listen, engage, build trust and influence a wide range of stakeholders in different roles and areas of the business.
- A thorough and methodical approach to managing communications, records and schedules.
- An ability to work under limited direction and supervision, while balancing conflicting demands.
- Excellent time management and prioritisation skills.
- An ability to train, coach and mentor all levels of the business on document management practices.
